Field Trip Payment Policies

Once your visit is booked, we will email an invoice to the school contact. Payment is due on the day of the field trip before you start your visit.

Methods of Payment
The Alamo accepts payment via card or check only.

To pay with card, you may:

  • Pay with card directly from your invoice via the Pay Here link. 
  • Pay with card in person on the day of your visit at the Alamo’s Welcome Center.

OR

All checks should be made out to Alamo Trust, Inc. To pay with check, you may:

  • Turn in your check at the Alamo’s Welcome Center upon arrival.
  • Mail the check to the following mailing address:

Tax Information: Field trips are not taxable. Tax-exempt forms are not required.

Group Size and Payment Deadlines

Please note the following deadlines regarding your field trip:

One week in advance

  • Finalize your field trip numbers. The total group number must be within the capacity of your visit type. We do not adjust numbers on the day of the field trip for absences.

Day of the field trip

  • The last opportunity to pay your invoice is the day of your field trip, upon arrival. A school representative may make their payment in person.

Refund and No-Show Policy

To cancel a reservation and receive a full refund or to change or reschedule, student groups must cancel at least one week in advance of the date of the field trip. Reservation changes or cancellations must be done by emailing education@thealamo.org.

No-show policy: Field trip experiences are a wonderful way to share the Alamo with as many students as possible. When a group doesn’t attend their field trip, other schools are denied the opportunity of a field trip experience. Schools that no-show the day of their field trip may be ineligible to book future experiences at the Alamo.

If late, student groups may be subject to a shorter tour experience. Groups later than 30 minutes may have their paid experience canceled without refund.


Chaperones and All Adults Policy

Definition of Chaperones: Parents, caregivers, and all non-educator adults accompanying the field trip.

Definition of Educator: Teachers, administrators and school staff accompanying the student group. Educators do not count toward the total number of chaperones and adults.

Adult/Student Ratio: Student groups are asked to bring a minimum of one adult for every 10 students. Maximum number of chaperones differs by field trip option.

Payment for Chaperones and All Additional Adults: Adults cannot pay admission on-site; they must be added to the reservation. Schools are required to pay the total invoice for the group, including all adults, teachers and students. Adults/chaperones cannot pay on the day of the field trip. Field trip organizers must collect payment from all adults in advance if the school is not paying for their entry. Your deadline to update chaperone numbers is one week before your field trip.
